Project Accountant

The Project Accountant plays a critical role in managing the financial aspects of their assigned projects, ensuring compliance with contracts, accurate billing, and timely financial reporting. This role also oversees the accounts receivable for their projects to ensure timely collection and healthy cash flow

RESPONSIBILITIES:

Project Accounting

  • Set up and maintain projects in the accounting/project management system in accordance with contract terms.
  • Coordinate with Project Managers to monitor project budgets, costs, and financial performance.
  • Assist with forecasting, financial modeling, and project closeouts.
  • Ensure accurate revenue recognition in compliance with GAAP and company policy.
  • Assist with tracking consultant costs and ensure proper coding, documentation, and alignment with project budgets.

Billing & Invoicing

  • Prepare and issue client invoices based on contract terms (lump sum, T&M, cost-plus, etc.).
  • Work closely with Project Managers for billing approvals and invoice accuracy.
  • Track billing schedules and proactively manage billing cycles to meet deadlines.

Accounts Receivable

  • Monitor aging reports and follow up on outstanding client invoices to ensure timely collection.
  • Serve as the primary point of contact for client billing inquiries and payment status.
  • Coordinate with internal teams to resolve billing discrepancies or client disputes.
  • Review AR ledger entries and monitor past due balances.
  • Generate AR reports and provide cash flow updates to leadership.

Reporting & Compliance

  • Provide regular project financial reports, including WIP, utilization, budget-to-actuals, and profitability.
  • Maintain compliance with company accounting policies, contract requirements, and regulatory standards.
  • Support audits, financial reviews, and client reporting as needed.

DIRECT REPORT: This position reports directly to the Project Accounting Manager

REQUIREMENTS:

  • Bachelor’s degree in Accounting, Finance, or related field.
  • 3–5 years of experience in project accounting, preferably in the A&E or professional services industry.
  • Proficiency in project-based ERP/accounting systems (e.g., Deltek Vision/Vantagepoint, Ajera, BST, or similar).
  • Strong understanding of billing, revenue recognition, and accounts receivable processes.
  • Excellent Excel skills and comfort with financial reporting tools.
  • Strong analytical, organizational, and time management skills.
  • Effective communication and collaboration abilities across departments.

Preferred Qualifications

  • Experience with Deltek Vantagepoint or similar ERP.
  • Familiarity with FAR compliance and government contracting regulations.
  • Knowledge of AIA billing formats and complex contract structures.
  • CPA or progress toward certification is a plus.
