Front Desk Administrator

We are seeking qualified candidates for the Front Desk Administrator role to support our brands, which include: E4H Environments for Health Architecture, Huckabee, IEG and TSK. The Front Desk Administrator provides administrative support for the Fort Worth office employees and is responsible for efficient facility operations, overall cultural success and general administrative responsibilities of the office.

RESPONSIBILITIES:

  • Provide high-quality administrative support and resources across all brands, to all employees and all roles, whether remote or in-person with a focus on professionalism, effective communication and quality of product
  • Answer, screen and act upon phone calls as appropriate
  • Maintain a positive and organized office environment by ensuring the front desk and lobby are clean and inviting for visitors. Keep conference rooms tidy and ready for use, with tables wiped, chairs straightened, and trash removed after each meeting.
  • Stock and maintain all pantries, servicing coffee machines, wiping down surfaces and appliances and managing inventory with Barista
  • Assist with shipping, receiving and distrbution of mail daily. Inform employees of any incoming mail and scan and email to them if applicable.
  • Responsible for Fort Worth fleet vehicle scheduling for employees, coordinate maintenance and inspection and ensure vehicles are checked for safety and cleanliness at least once a week. Record all information in vehicles log.
  • Assist with management of the office materials library, coordinate with vendors and Interiors team to keep library current and organized, and help dispose of unused and unwanted materials on a consistent basis
  • Act as a champion of culture for the office, embracing MOREgroup’ s mission, vision and values to connect our family of brands through cultural initiatives and activities that help cultivate a positive work environment.
  • Scan and submit fuel and credit card receipts to AP through Concur weekly, securing any missing receipts as requested
  • Assist the Fort Worth Office Manager with employee communications related to facility procedures, cultural initiatives and office updates/information utilizing but not limited to the following tools: email, Intranet formats, and office and firm-wide company meetings
  • Communicate required office maintenance to Office Manager. Ensure vendors have updated COI’s and inform building management prior to service being performed.
  • Serve as point of contact for new employees, supporting the Human Resources and IT teams prior to Day 1 to schedule and facilitate meetings, create an agenda, coordinate paperwork, and help to ensure a successful first day onboarding experience.
  • Provide additional project based support for employees including but not limited to: large format printing and scanning of documents, scheduling meetings, creating spreadsheets from project data, writing meeting minutes or agendas and regulatory assistance.
  • Maintain both paper and electronic filing system while supporting the MOREgroup document archiving initiatives.
  • Assist with archiving initiatives by scanning submittals and shredding project files past the Statute of Repose.

DIRECT REPORT: This position reports directly to the Fort Worth Office Manager

REQUIREMENTS:

  • 3+ years of administrative experience in a professional services environment
  • Advanced MSOffice skills required and knowledge of general administrative protocols
  • Bluebeam experience preferred
  • Excellent attention to detail
  • Ability to work independently as well as collaboratively in a team environment
  • Exhibit a can-do attitude and remain positive under pressure
